1. Introduction

Snap Audition ("we," "us," or "our") is committed to protecting the privacy of all users of our platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information, with special attention to the rights of children, students, and educational institutions.

Our Promise We do not sell, rent, or trade your personal information for marketing or advertising purposes.

2. Information We Collect

We collect only the information necessary to provide and improve the Service:

Sensitive Data: Snap Audition does not intentionally collect sensitive personal information (e.g., Social Security numbers, driver's license numbers, financial account numbers, health data). If sensitive data is requested by an audition, it is solely at the request of the organization running the audition and is never used by Snap Audition.

3. Children's Privacy (COPPA Compliance)

COPPA Compliant Snap Audition is committed to complying with the Children's Online Privacy Protection Act (COPPA).
  • Age Restriction: The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13 without verifiable parental consent.
  • Parental Consent:
    • If a Customer (e.g., a school, camp, or organization) collects personal information from children under 13, that Customer is responsible for obtaining verifiable parental consent prior to collection.
    • Snap Audition will collect only the minimum information necessary for the audition process.
    • Parents/guardians have the right to:
      • Review their child's information.
      • Request deletion of their child's information.
      • Withdraw consent at any time.
  • Parental Rights: Parents may contact us at support@snapaudition.com to:
    • Review or delete their child's information.
    • Withdraw consent.
    • Request that we stop further collection of their child's information.
  • Data Minimization: We retain children's personal information only as long as reasonably necessary to fulfill the purpose for which it was collected (e.g., the audition process). After that, we delete or de-identify the data in accordance with Section 6 below.
  • Parental Deletion Requests & Organization Consent: As set forth in the Terms of Use (Section 4.g), Snap Audition will notify the Customer organization of any parental deletion request and will not delete the child's data without the organization's written consent, unless otherwise required by law.

4. Educational Privacy (FERPA Compliance)

FERPA Compliant For educational institutions and agencies subject to the Family Educational Rights and Privacy Act (FERPA), Snap Audition serves as a "School Official" with a "legitimate educational interest."

FERPA Commitments:

  • (a) No Re-Disclosure: Snap Audition will not re-disclose education records to any third party without the institution's prior written consent, except as required by law or as necessary to provide the Service.
  • (b) Use Limitation: We will use education records only for the purpose of providing the Service (e.g., conducting auditions, storing results, generating reports).
  • (c) Security: We maintain reasonable and appropriate security measures to protect education records from unauthorized access, disclosure, or destruction.
  • (d) Data Return/Destruction: Upon termination of the agreement, we will return or destroy education records as requested by the institution, but only after receiving written authorization from the institution to proceed with deletion.
  • (e) Subcontractor Controls: Any subcontractors or third-party service providers with access to FERPA-protected data are bound by written agreements no less restrictive than these terms.
  • (f) No Unilateral Deletion: Snap Audition shall not delete education records without the institution's prior written consent, as detailed in Section 4.e of the Terms of Use.

Parental Rights: Under FERPA, parents and eligible students (over 18) have the right to:

  • Access their education records.
  • Request amendment of inaccurate records.
  • Request deletion of records (subject to institutional policies and consent).

5. Cookies and Tracking

  • Cookies: We use cookies solely for authentication and session management. We do not use tracking cookies for advertising or behavioral profiling.
  • IP Addresses: Your IP address is logged for security purposes (e.g., detecting unusual login activity). We do not use IP addresses to track your location for marketing purposes.

6. Data Retention and Deletion

We retain your information only as long as necessary to fulfill the purposes outlined in this Privacy Policy.

Your Right to Request Deletion Individual users and parents may request deletion of personal information by emailing privacy@snapaudition.com. However, Snap Audition will notify the Customer organization and will not delete the data until the organization provides written consent, as detailed in the Terms of Use.

Exceptions: We may retain certain information as required by law (e.g., for tax or audit purposes) or to enforce our legal rights.

7. Data Security

Snap Audition implements reasonable, commercially accepted security measures to protect your information, including:

  • Encryption: Data in transit is encrypted using TLS/SSL. Data at rest is encrypted using AES-256.
  • Access Controls: Access to personal data is restricted to employees who need it for legitimate business purposes, and all employees receive privacy and security training.
  • Regular Audits: We conduct regular security assessments and vulnerability scans.
Acknowledgement: While we strive to protect your data, no method of transmission over the Internet or electronic storage is 100% secure. You use the Service at your own risk.
Breach Notification In the event of a security breach involving your personal information, Snap Audition will notify affected users and/or the appropriate regulatory authorities within 72 hours of discovery, in accordance with applicable law.

8. Third-Party Disclosures

Snap Audition does not sell, rent, or share your personal information with third parties for their own marketing purposes.

We may disclose your information only in the following limited circumstances:

  • Service Providers: To trusted third-party vendors who help us provide the Service (e.g., cloud hosting, analytics, email delivery). All such providers are contractually obligated to maintain the confidentiality and security of your data.
  • Legal Compliance: If required by law, court order, or government regulation.
  • Consent: With your explicit consent.

11. International Users

Snap Audition is based in the United States. If you are accessing the Service from outside the U.S., your data may be transferred to and processed in the U.S. By using the Service, you consent to such transfer. We ensure appropriate safeguards are in place to protect your data.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by:

  • Posting a notice on the Snap Audition Dashboard.
  • Sending an email to the address associated with your account at least 15 days before the changes take effect.

Your continued use of the Service after the effective date constitutes your acceptance of the revised Privacy Policy.
